Hosted or On-Premise Email Archiving?


Question marksThe first big decision companies must make when choosing an email archiving solution is whether to buy a software product and the related hardware to run it internally (referred to as “on-premise”) or leverage the capabilities of a hosted email archiving service provider (often called “software-as-a-service” or “SaaS”). Both have their advantages and disadvantages depending on a number of factors, including the size of your company, the regulations you must follow, your archiving goals, your IT resources, your budget, etc.

Hosted Email Archive Solutions

Software-as-a-service email archiving doesn’t require companies to purchase and deploy any additional hardware or software nor do they necessitate ongoing maintenance time or complex upgrades, so what was once a capital expense becomes a more balance sheet-friendly operating expense. Some SaaS solutions offer unlimited storage, which is another valuable benefit for your bottom line. Organizations can achieve the same archiving goals with an on-demand or SaaS provider as they can with an on-premise solution, and in a credit-crunched economy, this is an appealing option for companies trying to closely manage their expenditures.

On-Premise Solutions

In contrast, if companies choose to deploy an on-premise email archiving solution, they need to purchase, setup and manage the related hardware, software and services to run it. They must also estimate storage needs and pay for them upfront, which requires determining the de-duplication rate (single-instance storage) of the archive. Keeping the system running for the life of the longest retention period or litigation hold and up-to-date becomes an ongoing task for your IT department. On-premise solutions offer some of the same benefits as SaaS solutions, but they tend to be more ideal for larger organizations. Companies with the necessary budgetary and staffing resources may prefer on-premise solutions because they want to have complete control over their archiving infrastructure and manage the system internally. For organizations that want their data literally within their four walls, an on-premise solution makes sense.
